Beating the Rigged Tender ($700K Contract)

A quick note on privacy: To protect our clients’ and partners’ business confidentiality, specific company names, locations, industry and exact financial figures have been altered for this case study. However, the events, challenges, and strategies detailed below are 100% real.

The Setup: A High-Stakes, High-Pressure Deadline

It started with an urgent message from our trusted partner in Zambia. One of his largest clients had just issued a massive Request for Quotation (RFQ) for 18 critical items of oil station equipment and spare parts. The total project value was hovering around the $700,000 mark, and the deadline to submit the bid was less than two weeks away. To make matters more stressful, our partner needed our complete pricing and technical submission in just one week.

The RFQ came with a strict catch: it specified that the equipment must be sourced from a major, well-known Australian manufacturer.

Hitting the Wall: The "David vs. Goliath" Reality

We immediately went to work, contacting the Australian manufacturer’s headquarters, a state office, and their African regional office (South Africa). We needed their pricing to build our quote.

Then, we hit a wall.

Despite multiple emails and phone calls, we were completely ghosted. Every time we followed up, the response was the same: "The person in charge of this inquiry is unavailable and will get back to you soon." That callback never came. Finally, days later, their South African office replied with a highly suspicious, dismissive email stating they simply "would not be able to help us with this quote."

For many small to medium-sized contractors, this is where the story ends. You are locked out by a big manufacturer who refuses to play fair. But at Tech Solutions by Design (TSBD), we don’t just accept "no" for an answer. We investigate.

The Detective Work: Uncovering the "Ghost" Specs

While waiting for the Australian manufacturer to reply, our technical study team started doing their homework. We noticed that 3 of the 18 requested items had strange, highly specific part numbers that were nowhere to be found on the Australian manufacturer’s official website.

💡 THE TSBD BREAKTHROUGH: WE DISCOVERED THE ORIGINAL MANUFACTURER

While big brands try to lock you out with confusing specs, our technical team digs deeper. In this project, we discovered that the specified Australian manufacturer wasn't actually making the products at all. They were purchasing them from a Spanish OEM, relabelling them, and selling them under their own brand name. Furthermore, the 3 "strange" items were actually cheap, generic products available in local markets, but they were given vague, altered part numbers to make it impossible for outside suppliers to quote them. This gave their "chosen" supplier an unfair, rigged advantage on cost and time.

The Dual Sourcing Strategy: Thinking Globally and Locally

Once we uncovered the truth, we knew exactly how to beat the rigged system. We immediately deployed a dual-sourcing strategy to get our partner the best possible price and compliance.

Global Sourcing: One of our team members bypassed the Australian middleman entirely and contacted the original Spanish OEM directly. Within hours, we secured a detailed, highly competitive quote for the 15 genuine items.

Local Sourcing: Meanwhile, another team member hit the ground locally, scouring the market in Zambia to source the 3 "ghost" items. We found the exact same generic products locally, completely bypassing the inflated, rigged part numbers. This not only saved our partner money but also reduced shipping time and import complications.

In total, we contacted and evaluated 9 different suppliers across multiple countries to ensure absolute compliance and the best pricing.

The Result: Winning Through Partnership

Because of our technical detective work and aggressive sourcing, we delivered a complete, fully compliant, and highly competitive quote to our partner in just 6 days—well ahead of the one-week deadline.

Armed with the best pricing on the market, our partner submitted the bid with confidence. After the client's evaluation period, we were thrilled to learn that our partner successfully won the $700,000 order. The goods were delivered on time, and the client was thrilled with both the competitive pricing and the genuine OEM quality.

We handled this project by working collaboratively on a mutually beneficial basis, agreeing on a transparent profit-sharing percentage between TSBD and our local partner. This is how we operate: we don't just sell you parts; we share in your success.

Don't Let Project Size Intimidate You

You might be looking at that "$700K" figure and thinking, "My projects aren't that big. Will TSBD still help me?"

Absolutely. While this was a large-scale project, we are just as passionate about helping small and medium-sized contractors win their everyday tenders. Whether your project is $5,000 or $700,000, you deserve a procurement partner who will fight for you, uncover the truth, and deliver genuine OEM solutions on time.

Big manufacturers might try to rig the specs and lock you out. We are here to kick the door wide open.

Finding the "Impossible" ($27K Obsolete Parts)

A quick note on privacy: To protect our clients' and partners' business confidentiality, specific company names, locations, industry and exact financial figures have been altered for this case study. However, the events, challenges, and strategies detailed below are 100% real.

The Setup: A Small Job with Big Stakes

It started with a straightforward RFQ from our trusted partner in Kenya. A local client needed 22 different types of NHP circuit breakers for an electrical infrastructure project. The total value was around $27,000 — not a massive deal by industrial standards, but critically important to our partner and their client.

Our partner had already tried sourcing these locally in Kenya and through his usual network. He kept hitting dead ends but couldn't understand why — the items weren't listed as unavailable anywhere, yet nobody seemed to have them. He turned to us to help solve the mystery.

The Challenge: Diagnosing the "Invisible" Problem

Our partner in Kenya was frustrated. He had tried sourcing these 22 NHP circuit breakers locally and through his usual network, but kept hitting dead ends. He couldn't understand why — the items weren't listed as discontinued anywhere he could find, yet nobody seemed to have them in stock. He didn't know what was going wrong; he just knew he couldn't get the answer he needed.

That's when he turned to us.

After reviewing the list and contacting members of our electrical supplies network, our technical team spotted the problem that had eluded everyone else: all 22 circuit breakers had been quietly discontinued and declared obsolete by the manufacturer. They had been removed from active catalogues, but the old part numbers were still floating around in legacy specifications — creating a sourcing nightmare for anyone who didn't know to look for the discontinuation notices.

But here's where our technical expertise kicked in. We didn't just deliver bad news. We immediately researched and identified the new replacement models that had superseded the old ones. These replacements offered higher specifications and a lower price point. We excitedly contacted our partner: "We found out why you couldn't source these — they're obsolete. But great news: we found the modern equivalents. Better specs, better price."

Then came the reality check.

Our partner got back to us: "The client's procurement rules are rigid. They must stick to the exact models listed in the RFQ. No substitutions allowed."

This is a common nightmare for African contractors working with government utilities and large industrial clients. The specifications are locked in, the procurement rules are inflexible, and you're told to deliver products that literally don't exist anymore — even though nobody told you they didn't exist until you started trying to buy them.

We told our partner: This will be very hard, but we'll work on it.

The Brainstorming Session: Thinking Outside the Email Box

We held an internal meeting to figure out how to source 22 different obsolete circuit breakers. We knew that standard online stock checks would show "0 available" — discontinued items are typically removed from digital inventory systems. But we also knew that physically, some of these items might still be sitting on warehouse shelves in various locations.

We decided on a two-pronged approach:

Strategy 1: Contact the NHP manufacturer's extensive dealer network across Australia — but not through their automated systems or email inquiries. We would pick up the phone and have real conversations.

Strategy 2: Start with remote dealers in regional areas — the ones with slower stock turnover, slower movement, and less frequent inventory updates. These are the dealers most likely to have "forgotten" stock sitting in the corner of their warehouse.

The Phone Call Strategy: Honesty Beats Everything

Here's what made this work: we didn't use corporate jargon or pushy sales tactics. Our approach was simple, true, and straight-forward.

We called each dealer and said: "Hi, we're trying to help a partner in Africa who needs these specific obsolete circuit breakers. We know they're discontinued, but we're wondering if you might have some sitting in your store. Can you help us help them?"

That's it. No pressure. No corporate speak. Just honesty. And it worked. People were genuinely keen to help.

📞 THE TSBD APPROACH: WE PICK UP THE PHONE

In a world where suppliers hide behind automated systems and unresponsive emails, we believe in real human conversations. For this project, we didn't send 50 emails and hope for replies. We picked up the phone, explained the situation honestly, and asked for help. The response was incredible — dealers went out of their way to assist us.

The Lunch Break Story: When Strangers Become Allies

One moment stands out that perfectly captures the spirit of this project.

I was personally on the phone with a sales manager at one of the dealers. Due to the time difference between Australia and Africa, it was lunchtime for him. He told me: "Hold on, I'm going to leave my lunch right now, go down to the store myself, and physically look for these breakers. I'll finish my lunch when I get back."

He didn't have to do that. There was no financial incentive for him. But because we approached him with honesty and explained we were trying to help a partner in Africa, he personally went to the warehouse to search for us. That's the power of genuine human connection in business.

The Result: 22 Breakers, 12 Dealers, Same-Day Shipping

Over the course of 4 weeks, we contacted 12 different dealers across Australia. Some had one or two breakers in stock. Others had nothing. But piece by piece, we assembled the complete list.

By the end of week 4, we had sourced all 22 different types of circuit breakers — every single item on the RFQ.

Because we were already very close to our partner's deadline and didn't want to cause him any penalties, we consolidated everything and shipped it all the same day we received the final items.

Our partner delivered the goods to his client on time. The client was thrilled. More importantly, the client trusted our partner even more because we had delivered the "impossible." Today, we're working with that same partner on a much larger tender — because trust, once earned, opens doors.

The Commercial Model: Flexibility Matters

Unlike our Zambia case study where we worked on a profit-sharing basis, this project operated on a transparent markup model as per our partner's specific request. This flexibility is key to our partnership approach — we adapt our commercial structure to what works best for each partner and each project.

No Job Too Small

You might be thinking: "That $27K job sounds tiny compared to the $700K tender in the other case study. Would TSBD really put this much effort into a small job?"

Absolutely.

We don't discriminate based on deal size. Whether it's a $5,000 emergency repair or a $700,000 infrastructure project, you get the same dedication, the same technical detective work, and the same relentless pursuit of solutions. Small jobs matter. They build trust. They solve real problems for real people. And often, they lead to much bigger opportunities down the road.
